This Privacy Policy explains how AutoDX LLC ("Company", "we", "us"), the operator of the AutoDX service (the "Service"), collects, uses, shares and retains information when you use the Service. By creating an account you agree to this Policy.
1. Information we collect
- Account data — your email address, name, preferred language, shop membership and role, and consent records (when you accepted the terms and whether you opted into marketing).
- Service data — vehicle identifiers (VIN), diagnostic trouble codes, symptoms, freeze-frame and live scan data, measurements you enter, photos you upload for text recognition, chat messages, and the diagnostic records and work summaries you create.
- Your customers' data — if you attach a customer name, phone number or email to a case, we store it solely so you can manage that repair order. You are responsible for having the right to enter that information; we process it only on your behalf and never use it for our own purposes.
- Payment data — subscriptions and payments are processed by our payment processor (Stripe). We store only the transaction outcome (plan, amount, status) and a customer reference. We never see or store full card numbers.
- Usage and security data — IP address, request timestamps and technical logs. We log IP addresses to protect accounts, enforce rate limits and detect account sharing and abuse.
2. How we use information
- To provide the Service: run diagnostics, keep your shop's history, generate work records.
- To process payments, subscriptions and seat management for your shop.
- To secure the platform: authentication, abuse and fraud prevention, rate limiting.
- To improve diagnostic quality (see Section 3 on anonymised shared knowledge).
- To send transactional messages (invites, receipts, account notices) and — only if you opted in — product news and offers.
Where the law requires a legal basis, we rely on performance of contract (running the Service), legitimate interest (security, abuse prevention, product improvement) and consent (marketing).
3. Anonymised shared knowledge
When you mark a repair as successfully fixed, the Service may add an anonymised record of the problem pattern to a shared knowledge base so that other repair shops facing a similar vehicle and fault can benefit: vehicle year/make/model/engine, trouble codes, symptom, root cause and fix summary. VINs, email addresses and phone numbers are automatically removed, and the record is never shown to other shops with your name, your shop or your customer attached. Internally it keeps a reference to the source repair for one purpose only: if you later mark the fix as failed, the record is retracted. Free text you type (symptoms, fix notes) may be included in the shared summary — avoid entering customer names or other personal details there.
4. Automated processing
Diagnostic inputs (vehicle description, trouble codes, symptoms, measurements) are processed by third-party cloud analysis services under agreements that restrict them to processing on our behalf. We send them only what is needed for the analysis and no account or payment information. Diagnostic conclusions are decision support for a qualified technician — final repair decisions are yours.
5. Service providers
We share data only as needed with providers that help us run the Service: cloud hosting and databases, authentication, payment processing (Stripe), transactional email delivery, and the analysis services described in Section 4. They process data on our behalf under their own security and data-processing terms. We do not sell or rent personal data, and we do not share it with advertisers or data brokers.
6. Where data is stored
The Service is operated from infrastructure located in the United States. If you use the Service from outside the U.S., your data will be transferred to and processed in the U.S.
7. Cookies and local storage
We use only what is required to operate the Service: an authentication token and interface preferences (such as language) stored in your browser. We do not use advertising or cross-site tracking cookies.
8. Marketing email
We send marketing email only if you opt in at sign-up. You can unsubscribe at any time using the link in any marketing message. Transactional messages (such as password resets, invites and account notices) are sent regardless of marketing preference.
9. Text messages (SMS)
If your repair shop records your mobile number on a repair order, it may text you about that repair — that your estimate is ready to review and approve, that your vehicle is finished and ready for pickup, or a reminder about a scheduled appointment. You give that number to the shop at the service counter, and it is used only for the vehicle you brought in.
We do not sell or share mobile numbers. Mobile numbers, and consent to receive text messages, are never sold and are never shared with third parties or affiliates for their own marketing or promotional purposes. They are disclosed only to the messaging provider needed to deliver the message you asked for.
Message frequency varies with the repair, and is typically a small number of messages per visit — commonly two to five. Message and data rates may apply.
Reply STOP to any message to stop receiving them, or HELP for help. You can also write to support@autodxpro.com. Stopping text messages does not affect your repair or the other ways your shop can reach you.
10. Data retention and deletion
We retain your data while your account is active and as needed for legal, billing and operational purposes (for example, payment records we must keep for tax law). You may request deletion of your account and its data at the contact below; we will delete or anonymise it within 30 days except where retention is legally required. Anonymised shared-knowledge records (Section 3) are not shown to other shops with any identity attached and may be retained.
11. Your rights
Depending on your location (including under GDPR and CCPA), you may have rights to access, correct, export, restrict or delete your personal data, and to object to certain processing. Contact us to exercise them; we will respond within the time the applicable law requires. You will not be discriminated against for exercising your rights.
12. Security
We use industry-standard measures to protect your data: encrypted transport (TLS), authenticated access scoped to your shop, and access controls limiting our own staff. No method of transmission or storage is completely secure; if we learn of a breach affecting your personal data we will notify you as required by law.
13. Children
The Service is a professional tool for repair businesses and is not directed to children under 16. We do not knowingly collect data from children.
14. Changes to this Policy
We may update this Policy. Material changes will be announced in the Service or by email, and the "Last updated" date above always reflects the current version. Continued use after a change means you accept the updated Policy.
